The Whys and Hows of Hosting a NAACO Regional Meeting

Benefits of Hosting a Regional Meeting:
Share “best practices” with colleagues from neighboring institutions
Be seen as a leader and catalyst for building community and expanding the information pool for your regional colleagues.
Host colleagues at your institution to showcase your facilities and share your ideas
Help generate regional solutions to region-specific issues and challenges
Plan an event that is offered free to member institutions as part of the benefit of being a NAACO member. A nominal fee of $50.00 is charged to non-member instituion attendees who can use this opportunity to see what NAACO is all about. Non-member institutions may then apply the registration fee to their institutional membership, should they join NAACO within one month of the date of the regional meeting. This is a great way to help market your Association.
Cost to the host institution is minimal. NAACO will cover many of the expenses.
How Do I Get Started?
Talk to friends and colleagues at neighboring institutions to assess their interest and to develop your invitation list.
The NAACO Executive Board will evaluate your application and inform you as to whether or not it has been accepted.
The Regional Meeting Coordinator will help you plan your event.
What are My Responsibilities as a Host Institution?
Work with the Regional Coordinator to confirm a date, finalize expense planning and plan an agenda.
Reserve a meeting room with appropriate AV equipment, coordinate parking, room set-ups, and catering arrangements.
Reserve a block of guest rooms at a local hotel for out-of-town attendees.
Send invitations, track registrations, and provide briefing materials to attendees.
Prepare handouts and meeting materials (nametags, NAACO membership material).
Provide staff to conduct the meeting check-in and on-site assistance throughout the meeting.
Submit a reimbursement form and all related receipts to the NAACO Business Manager with a copy to the Treasurer no later than two weeks following the event. Expenses previously noted and approved in your budget proposal will be reimbursed.
Submit the final agenda, attendees list and the evaluation seets with a summary of their contents to the Director At Large no later than two weeks following the event.

What will be provided by NAACO?
Planning assistance from the Director At Large and NAACO Regional Coordinator.
Access to mailing lists of NAACO member and non-member institutions in your area.
Reimbursement for necessary meeting-related expenses including food, site-related costs (i.e., AV, printing, photocopying), and postage.
A NAACO Executive Board member or board appointed representative will attend your regional meeting to help facilitate the program, serve as a resource, and provide information on the Association. Members of the NAACO Corporate Board should be informed of the date and location for your regional meeting and encouraged to send a representative to serve as a resource for your participants.
